The Meade County Chamber of Commerce invites qualified catering businesses to submit bids for the provision of catering services for luncheons and events hosted by the Chamber throughout the calendar year 2025.

 Scope of Work

The Chamber seeks catering services for the following:

1. Monthly Luncheons:
   • Typically held on the third Thursday of each month.
   • Attendance: 50-70 guests per event.
   • Service Requirements: Buffet-style lunch with drink options (water, tea, coffee).
2. Special Events:
   • Includes Christmas Luncheon, Women’s Summit, Community Partnership Dinner and Annual Awards Banquet.
   • Attendance varies from 120 - 200 guests, depending on the event.
   • Service Requirements: Flexible options ranging from luncheon buffet to buffet dinner service.

 Bid Requirements

Bids should include the following information:

• Business name, address, contact person, and contact details.
• Menu options and pricing per guest (including any package deals).
• Service details (e.g., setup, staffing, cleanup).

 Evaluation Criteria

Bids will be evaluated based on the following:

• Chamber Membership status
• Quality and variety of menu offerings.
• Cost and value for services.
• Flexibility and ability to meet the Chamber's specific needs.

 Submission Instructions

Submissions received after the deadline will not be considered.

Additional Information

The Meade County Chamber of Commerce reserves the right to award the contract to the vendor that best meets its needs or to reject any or all bids.

Final decisions will be communicated by Jan. 6, 2025.
